Artificial Intelligence Policy
1. Purpose
1.1. This policy implements guidance for the appropriate and ethical use of Artificial Intelligence (AI) for Faculty, Staff, and Students at Tooele Technical College. As AI continues to develop, this policy and guidance will continue to evolve.
1.2. AI while beneficial, also poses many risks to privacy and security of data. As such, this policy permits the use of AI with certain limitations.

3. Definitions
3.1. “Artificial Intelligence” A field of science concerned with building computers and software that can reason, learn, and act in such a way that would normally require human intelligence or that involves data whose scale exceeds what humans can analyze.
3.2. “Generative Artificial Intelligence” A type of AI that uses machine learning to create new content.
3.3. “Hallucinations” Generative AI creations that have inaccurate material presented as fact.
3.4. “Bias Amplification” Generative AI magnifies existing biases present in their training data, resulting in outputs that are significantly more skewed or discriminatory than the original data itself.
4. Policy
4.1. Tooele Technical College encourages the use of and further development of AI. In order to provide for the safe and ethical use of AI, follow these guidelines.
4.1.1. The College will make the Google Gemini website application available to all faculty and staff.
4.1.2. Gemini does not have controls for minors. As such, Gemini will not be available for student use.
4.1.3. Users must sign in to Gemini with their Tooele Technical College Google account. Personal accounts do not provide the same protections and safeguards.
4.1.4. Users must abide by Gemini’s code of conduct and not use the software for inappropriate, offensive, or illegal content.
4.1.5. Any Generative AI that will be presented in the public space must be reviewed and approved by a director, VP, or President.
4.1.6. Generative AI may not be used as a final product without supervisor review due to the following reasons;
1 AI is subject to hallucinations and may provide incorrect information.
2 AI can amplify bias in data and present inaccurate data and false messages.
3 AI may not provide proper citations for copyrighted material.
4.1.7. If faculty and staff find Gemini does not meet their needs, contact the IT helpdesk for other approved solutions.
4.1.8. Ownership of any AI-generated material while using the service remains the property of Tooele Technical College.
4.1.9. Do not put personally identifiable information (PII) in AI. Directory information is acceptable.
1 For example, if an employee is being disciplined, AI may assist with writing the message, but specific names and details should be excluded and added later, in the final review stage, outside of the AI service.
2 Student information should not be written with dates, names, or anything that could identify the individual student. All details can be added later, outside of the AI service.
3 Generative AI with PII should be deleted if added by error.
4.2. Instructional Use of AI
4.2.1. Instructional programs might want to use AI to help develop curriculum. Upon approval of the Vice President of Instruction, the following guidelines should be followed.
1 Acceptable use of AI
a Brainstorming and refining ideas
b Curriculum development, for example, building quiz questions, lab ideas, training procedures, and training material for students.
c Drafting an outline to organize your thoughts.
d Outline program pathways.
e Transcribing notes or meeting minutes.
f Assisting as an editor - checking grammar, spelling, and writing style.
g Use it to test your knowledge and help anticipate student questions.
h Assisting with routine tasks such as generating a presentation, condensing and interpreting data, or drafting emails.
